2006 Dykes Library Mission and Strategic Initiatives


Mission

The mission of the A.R. Dykes Library of the Health Sciences staff is to work collaboratively with individuals and organizations who are seeking high quality health information within the University of Kansas Medical Center and throughout the state of Kansas.

Access Initiative

Goal 3: We provide access to quality medical information to our users in a timely and efficient manner using the tools and formats that meet user requirements and needs.

The library offers extensive hours and services to accommodate various patron needs.

Activities

  • By January 31, 2006, Anne Whitworth will recruit participants to form a task force to identify the statistical measures to be collected for the evaluation of access services.
  • By March 31, 2006, the statistics/measures task force will participate in a brainstorming session to determine the measures needed to evaluate services and identify patron needs. Currently, for Circulation and Reference, the following statistics are collected: public services desk interactions, pager warehouse interactions, gate count, study room usage (on demand), database usage, class instruction, literature searches.
  • Starting in April, 2006, representatives from the statistics/measures task force will collaborate with Data Warehouse staff to develop and implement tools for collecting statistics. Measures will be deployed on July 1, 2006.
  • The Public Services Desk is staffed with trained librarians, Reference Assistants, and students to the levels needed according to day-of-the week and time-of-day. Staffing and training levels will be evaluated by Anne Whitworth, Sarah McQueeny and Karen Cole, according to the data collected, once each semester, beginning January, 2007.
  • On a bi-monthly basis, public services staff (Sarah McQueeny, Anne Whitworth) will meet with IT staff (Ronnell Goodwin, Jeff Thomas) to discuss changes or improvements needed for library workstations and related equipment, provide updates for projects, and review current policies and procedures.

The library maintains remote/virtual access to its resources to accommodate various patron needs.

Activities

  • The web task force meets every other month to do an ongoing content review according to the update schedule.
  • The web task force completes a major content update every six months.
  • The web task force ensures that regular updates to content are incorporated as needed.
    Internet Development is responsible for ensuring the availability of 24x7 access to library resources via the website.
  • IR IT staff will maintain workstations in Orr-Major for 24x7 access, according to maintenance plan to be developed by March 31, 2006, by Matt Fuoco and Ronnell Goodwin.
  • Network Development staff (Steve Selaya) and Systems Librarian (Dale Gustafson) collaborate to provide remote access to licensed content via the proxy server. Configuration changes are made as needed when new content is added or as dictated by changes in vendor configuration.
  • CDD provides remote access to electronic reserves via ERes and the proxy server. Courses and documents will be added and deleted on a semester basis.
  • CDD and Public Services will develop an institution-wide reserves policy that will contain guidelines for the most appropriate placement of reserve items submitted for distribution by faculty and staff. There will be standardized procedures for accessing reserve items in a variety of formats: check-out from the desk, electronic, printed course packs, handouts. This policy for accessing reserves will be completed by June 10th and implemented for the Fall 2006 semester.
  • CDD maintains and updates the copyright compliance website content for 24x7 access to information about the use of copyright protected materials, and to scholarly communications options for KUMC authors and publishers. Updates will occur as new services are offered and as policies and procedures change. Internet Development maintains the copyright compliance website and ensures 24x7 availability.
  • CDD maintains and updates ILLiad website content for 24x7 access to the online document delivery request forms, and for information about fees, services and procedures as needed to keep information current and accurate. CDD works in conjunction with the KUMC systems librarian for systems maintenance and troubleshooting, KU Enterprise Systems for server upgrades and troubleshooting, and with the IR Identity Management staff to assign and manage passwords for non-KUMC patrons.

The library provides, maintains and continually develops digital systems for scholarly communication

Activities

  • Collaborate with Lawrence campus library leadership to develop digital library systems through semi-annual meetings with KUMC Digital Projects Team.
  • Complete Clendening Florence Nightingale Letters scanning and make available in Luna Insight interface (Bob - 1st Qtr 2006)
  • LinkFinder Plus (Open-URL Resolver) will have a customized interface and be in production in main subscription databases. Knowledgebase will be updated monthly with Serials Solutions journal data. (Dale - January 2006) Dr. Fishback's Pathology images will continue to be loaded in Luna Insight collection in small batches after being edited to protect PHI. (Bob - Ongoing)
  • KUMC DSpace installation will be customized and in production for Student Research Forum (Whitney - 1st Qtr 2006)
  • Using data collected from the other assessments occuring throughout the library, develop a cohesive concept of user needs for the design of an "information gateway" to meet those stated needs. (Dale - 2nd Qtr 2006)
  • An "Information Gateway" will be developed to bring various digital collections into a single portal. (Dale - 3nd Qtr 2006)
  • Digital Projects team in collaboration with librarians will present a draft plan for a redesign of OMRS by March 30, 2006
  • Develop generic processes, policies, procedures and marketing for digital library projects. (Whitney - 2nd Qtr)
  • Work with Teaching and Learning Technologies to ensure that digital assets are completely integrated into Angel platform. (Whitney - 2nd Qtr.)

The Copyright and Document Delivery Department collaborates with other document delivery libraries to obtain materials for KUMC patrons when these materials are not available in the Dykes library collections, upon request from patrons.

Activities

  • CDD staff will establish acceptable borrowing turn-around time by January 30, 2006 and adjust our routing lists so that libraries who meet our turn- around time standards will receive the bulk of our requests. CDD staff will work with Data Warehouse to pull turn-around time data from ILLiad on a monthly basis
  • Post turn-around time on a monthly basis to the ILLiad web page to inform patrons of how long it takes to receive documents from the time a patron submits a request to the time the item is delivered. CDD staff will work with Data Warehouse to pull turn-around time data from ILLiad on a monthly basis and automatically post them to the ILLiad web page.
  • Routinely adjust Docline cells to keep libraries with quickest turnaround time in top cells.
    Routinely select OCLC libraries who list their complete date range holdings over those who list title holdings.
  • Annually track total numbers of items borrowed for ARL reporting. CDD will work with Data Warehouse to pull data from ILLiad and post on Discover.
  • Track numbers of items borrowed per journal title for collection development analysis as needed. Track costs of borrowing items per journal for budgeting analysis as needed. CDD will work with Data Warehouse to pull data from ILLiad and post to Discover.
  • Track borrowing for interlibrary loan copyright fees on an annual basis. CDD will work with Data Warehouse to pull data from ILLiad and post to Discover.

The Copyright and Document Delivery Department supplies materials from our collections to other libraries and individuals not affiliated with KUMC, and to KUMC affiliates.

Activities

  • Establish a 24 hour turn-around time for CDD to receive and then dispatch requests from other libraries to encourage libraries in need of quick turn-around times to add us to the top of their routing lists. CDD will work with Data Warehouse to pull ILLiad data to be generated monthly to track and record lending turn-around time and post to Discover.
  • Serhold and OCLC holdings are updated annually and as discrepancies are discovered and reported. CDD and Technical Services staff are responsible for these updates. ILLiad reports will be generated monthly to track total numbers of requests received and filled against total numbers of requests received and unfilled. Accurate Serhold and OCLC holdings should decrease the numbers of unfilled requests.
  • Track total numbers of items provided to other libraries and patrons for ARL reporting on an annual basis. CDD will work with Data Warehouse to pull reports from ILLiad and post to Discover.
  • Track and record total numbers of items provided to other libraries from our collection for collection development analysis as needed. CDD will work with Data Warehouse to pull reports from ILLiad and post to Discover.

The Library shall make information about its collections available to both the KUMC community, the medical library community at large, and the world-wide community of scholars.

Activities

  • Technical services staff shall maintain an online catalog of library materials.
  • Technical services staff shall submit information to OCLC and SERHOLD at least weekly to facilitate resource sharing.
  • Systems librarian and Associate Director will investigate the possibility of automated updating of OCLC records with information from Serials Solutions.  Initial investigation to be completed by June 30, 2006.
  • RAs shall maintain Linkout service within PubMed by performing monthly updates.
